TRANSCRIPT SERVICE
TERMS AND CONDITIONS
SECTION 1: GENERAL TERMS — ALL TRANSCRIPT SERVICES
These terms apply to all transcript-related services offered through Statheros Homeschooling, including services provided under Statheros Academy and The Homeschool Society. This includes the Transcript Generator and the Statheros Academy Transcript Service.

Parent Responsibility for Accuracy
It is the sole responsibility of the parent or guardian to provide an accurate, truthful, and complete representation of their student’s coursework, grades, and academic history. The information presented on any transcript is a direct reflection of the details submitted by the parent. Statheros Homeschooling, Statheros Academy, and The Homeschool Society cannot generate course descriptions on a family’s behalf, as none of these organizations administered the student’s assignments or verified their work.

All submitted information must truthfully and accurately reflect the student’s completed work and performance. As the parent or guardian overseeing your student’s education, you are the exclusive source of this information.

Record Retention
Statheros Homeschooling recommends retaining a minimum of three samples of work per completed subject per academic year, for up to seven years — similar to how tax records are maintained. Retaining work samples serves as your own protection in the event that the content of your student’s transcript is ever called into question.

Work samples may be submitted and stored through Statheros Homeschooling’s record keeping services, where available as part of your enrollment or membership package.

For families using the Transcript Generator — whether enrolled in Statheros Academy or members of The Homeschool Society — submission of work samples is entirely voluntary and is not required as a condition of using the Transcript Generator. Statheros Homeschooling does not collect, store, or retain work samples in connection with the Transcript Generator. Statheros Homeschooling, Statheros Academy, and The Homeschool Society bear no liability for a family’s failure to retain work samples and cannot be held responsible for their absence.

For families using the Statheros Academy Transcript Service, submission of a minimum of three work samples per core subject — English, mathematics, science, and social studies — is required as a condition of the service. This requirement exists because the Head of School signs the transcript as Supervisor of Instruction, and submitted work samples serve as verification of the coursework represented on that official document. Full details of this requirement are outlined in Section 3.

Statheros Homeschooling expressly reserves the right to modify work sample submission requirements for any transcript service at any time, with advance notice to families.

In the event that proof of transcript content is ever required by a third party — such as a college, university, or government entity — the responsibility to furnish necessary work samples falls entirely on the parent or guardian. Statheros Homeschooling, Statheros Academy, and The Homeschool Society bear no responsibility in this matter.
Disclosure, Attestation & Falsification Policy
Prior to any transcript being processed — whether through the Transcript Generator or the Statheros Academy Transcript Service — the parent or guardian is required to sign a disclosure stating that all submitted information is true, accurate, and a genuine reflection of the student’s completed work and academic performance.

This requirement exists because Statheros Homeschooling uploads transcripts to Parchment on behalf of families using the Transcript Generator, and because the Head of School signs and certifies transcripts produced through the Statheros Academy Transcript Service as Supervisor of Instruction. In both cases, Statheros Homeschooling is acting in good faith on the basis of information provided by the parent.

Any parent or guardian who knowingly submits false, fabricated, or materially misleading information for the purpose of producing a student transcript is engaging in academic fraud. Statheros Homeschooling takes the integrity of student records seriously and will pursue all available legal remedies against any individual found to have falsified information submitted through any Statheros Homeschooling transcript service. This includes, but is not limited to, civil action for damages resulting from harm caused to Statheros Homeschooling, Statheros Academy, or The Homeschool Society as a result of fraudulent submissions.

Finality of Submitted Data
Once transcript data has been submitted, reviewed, and processed — whether through the Transcript Generator or the Statheros Academy Transcript Service — that data is considered final and may not be retroactively altered. Any changes to submitted information will void the official standing of the transcript. A new submission will be required to produce a revised transcript, and applicable fees will apply.
SECTION 2: THE TRANSCRIPT GENERATOR
Available to: All Statheros Academy enrollment tiers (Statheros Academy Reliable, Statheros Academy Enduring, and Statheros Academy Determined) and all Homeschool Society membership tiers (The Homeschool Society Essentials, The Homeschool Society Guided, and The Homeschool Society Premium) at no additional cost beyond existing enrollment or membership fees.

How It Works
The Transcript Generator is a self-service tool that allows parents to produce a transcript document for their student. A unique student ID, issued by Statheros Homeschooling, is required for each student prior to use. Once the transcript has been generated, the parent submits it to Statheros Homeschooling for review. Upon review, the transcript is uploaded to Parchment for secure official record-keeping.

Authorized Use
The Transcript Generator is authorized for use by a parent or legal guardian exclusively on behalf of their own dependent student or students. Use of the Transcript Generator to produce transcripts for any student who is not the legal dependent of the submitting parent or guardian is strictly prohibited.

The Transcript Generator may not be shared with, transferred to, or used by any other individual, family, or organization. Access to the Transcript Generator is tied to the enrolling or subscribing family’s account and is non-transferable.
Any parent or guardian found to have used the Transcript Generator on behalf of a non-dependent student, or who has shared access to the tool with another party, will be subject to immediate termination of enrollment or membership, removal of the transcript from Parchment, and the legal remedies described in Section 1.

Parchment Transfer Fees
Transcript transfers through Parchment are subject to Parchment’s standard per-transfer fee, which is paid directly by the family to Parchment. This fee is set and controlled by Parchment and is not collected by Statheros Homeschooling, Statheros Academy, or The Homeschool Society.

Statheros Homeschooling currently reviews and uploads Transcript Generator submissions as part of existing enrollment and membership benefits. However, Statheros Homeschooling expressly reserves the right to introduce a processing or review fee for this service in the future, should operational demands require it. Families will be notified in advance of any such change.

Branding & Ownership
Transcripts produced through the Transcript Generator do not carry Statheros Homeschooling or Statheros Academy branding, letterhead, school seal, or the signature of any Statheros Homeschooling staff member. The parent assumes full ownership of and responsibility for the content of any Transcript Generator-produced transcript.

Course Descriptions
Statheros Homeschooling strongly recommends that parents maintain detailed course descriptions for all subjects listed on any transcript produced through the Transcript Generator, including both core academic subjects and electives. Colleges and universities may request course descriptions as part of the admissions process, and it is the parent’s sole responsibility to be able to produce them on demand.

Statheros Homeschooling does not collect, store, retain, or verify course descriptions for transcripts produced through the Transcript Generator. The parent or guardian assumes full responsibility for maintaining this documentation independently.
Limitation of Liability
Statheros Homeschooling’s role in the Transcript Generator process is limited to issuing student IDs, reviewing submitted transcripts for formatting, and uploading them to Parchment. Statheros Homeschooling does not verify, certify, or attest to the academic accuracy of any Transcript Generator-produced transcript. The accuracy of all transcript content is attested solely by the parent’s submission and is the parent’s exclusive responsibility.

SECTION 3: THE STATHEROS ACADEMY TRANSCRIPT SERVICE
Available to: Statheros Academy Reliable ($75) and Statheros Academy Enduring ($175) enrollment tiers at $85 per transcript year; Statheros Academy Determined ($320) enrollment tier includes one transcript year at no additional cost. Additional transcript years beyond the included year are $85 each, unless the family re-enrolls in the Statheros Academy Determined tier in a subsequent enrollment year.

This Service Is Not Available to Homeschool Society Members
The Statheros Academy Transcript Service is exclusively available to families enrolled in Statheros Academy. Enrollment in Statheros Academy and membership in The Homeschool Society are distinct relationships and cannot be held simultaneously.
​
Families who are members of The Homeschool Society file a Notice of Intent (NOI) directly with the state of Colorado, which legally establishes them as operating their own independent home school. Because these families are operating as their own school under state law, they are not eligible to enroll in Statheros Academy. Since the Statheros Academy Transcript Service requires active enrollment in Statheros Academy, it is not available to Homeschool Society members. Homeschool Society members have access to the Transcript Generator, as described in Section 2 above.

How It Works
The Statheros Academy Transcript Service is a professionally produced transcript created by Statheros Academy on the student’s behalf. The parent submits complete transcript data, including detailed course descriptions and required work samples, to Statheros Academy. The Head of School reviews the submission with the parent and prepares the official transcript. A copy is provided to the parent, and the transcript is uploaded to Parchment upon completion.

What the Statheros Academy Transcript Includes
Statheros Academy Transcript Service documents are produced on official Statheros Academy letterhead and bear the Statheros Academy school seal, the student’s name, the Head of School’s name, and an original signature designating the Head of School as Supervisor of Instruction. This is an official Statheros Academy document.

Fees
The $85 fee applies per transcript year, regardless of whether data is being entered for the first time or transferred from a transcript issued by another school or institution. This fee reflects the time, attention to detail, and effort required to format, calculate cumulative GPA, and produce each student’s official transcript.

Course Descriptions, Work Samples & Verification
Detailed course descriptions are required for all subjects listed on the transcript, including both core academic subjects and electives. The parent or guardian is the sole source of this information. Statheros Academy cannot generate course descriptions on a family’s behalf. All course descriptions must accurately reflect the actual work completed by the student.
In addition, parents are required to submit a minimum of three work samples for each core subject — English, mathematics, science, and social studies — listed on the transcript. Work samples must be representative of the student’s actual completed work for the academic year in which credit is being claimed. These samples serve as verification of the coursework represented on the official Statheros Academy transcript and are retained as part of the student’s record.
Work samples for all subjects not listed above are the parent’s responsibility to retain independently. Statheros Academy’s ability to independently verify the accuracy of any subject beyond what is submitted is limited to the information and materials provided by the parent.

Parent Attestation
The accuracy of all submitted records is attested by the parent’s signature on the data submission form. Because the Head of School signs the Statheros Academy transcript as Supervisor of Instruction, the integrity of submitted information is of the highest importance. Statheros Academy will rely on the parent’s signed attestation and bears no responsibility for the accuracy of the underlying information provided. Any submission found to contain falsified information will be subject to the legal remedies described in Section 1.

Limitation of Liability
While Statheros Academy reviews submissions and may offer feedback, the organization’s ability to independently verify the accuracy of coursework, grades, or credit hours is limited to the information provided by the parent. Statheros Academy expressly disclaims responsibility for any inaccuracies in transcript content that result from information submitted by the parent.

SECTION 4: LIMITATION OF LIABILITY
By submitting transcript data and signing the required disclosure form, the parent or guardian expressly acknowledges and agrees to the following terms, which apply to all services offered through Statheros Homeschooling, Statheros Academy, and The Homeschool Society.

Cap on Liability
To the fullest extent permitted by applicable law, the total liability of Statheros Homeschooling, Statheros Academy, and The Homeschool Society — including their owners, staff, and representatives — arising out of or related to any transcript service, whether based on contract, negligence, or any other legal theory, shall not exceed the total amount paid by the parent or guardian for the specific service giving rise to the claim. In the case of services included at no additional cost as part of an enrollment or membership package, liability shall not exceed the pro-rated value of that service as a portion of the enrollment or membership fee paid.

Exclusion of Consequential Damages
Under no circumstances shall Statheros Homeschooling, Statheros Academy, or The Homeschool Society be liable for any indirect, incidental, consequential, special, or punitive damages arising out of or related to any transcript service, including but not limited to: loss of admission to any educational institution, loss of scholarship or financial aid, loss of employment opportunity, or any other outcome resulting from the content, acceptance, or rejection of a student transcript. This exclusion applies regardless of whether such damages were foreseeable or whether Statheros Homeschooling was advised of the possibility of such damages.

Acknowledgment of Administrative Role
The parent or guardian acknowledges that Statheros Homeschooling, Statheros Academy, and The Homeschool Society perform an administrative and formatting role in the production and processing of student transcripts. These organizations do not independently verify the academic accuracy of submitted information, do not administer or observe student coursework, and do not warrant that any transcript will be accepted by any college, university, employer, or other third party. Acceptance of a transcript by any third party is beyond the control of Statheros Homeschooling and cannot be guaranteed.

Indemnification
The parent or guardian agrees to indemnify, defend, and hold harmless Statheros Homeschooling, Statheros Academy, The Homeschool Society, and their respective owners, staff, and representatives from and against any claims, damages, losses, or expenses — including reasonable legal fees — arising out of or related to: (a) any inaccurate, false, or misleading information submitted by the parent or guardian; (b) any claim by a third party resulting from the content of a transcript produced on the basis of parent-submitted data; or (c) the parent’s failure to retain adequate work samples or documentation.

Governing Law
These terms and conditions shall be governed by and construed in accordance with the laws of the State of Colorado, without regard to its conflict of law provisions.

Dispute Resolution
In the event of any dispute, claim, or controversy arising out of or related to these terms and conditions or any transcript service offered through Statheros Homeschooling, Statheros Academy, or The Homeschool Society, the parties agree to resolve the matter through the following process, in order:

Step 1 — Good-Faith Resolution: The parent or guardian agrees to first contact Statheros Homeschooling in writing to describe the dispute and attempt to resolve it directly. Statheros Homeschooling will respond within a reasonable timeframe. Both parties agree to make a genuine good-faith effort to resolve the matter before escalating further.

Step 2 — Mediation: If the dispute is not resolved through direct communication within thirty (30) days of written notice, both parties agree to submit the dispute to non-binding mediation in the State of Colorado. The mediator shall be mutually agreed upon by both parties. The cost of mediation shall be shared equally between the parties unless otherwise agreed.

Step 3 — Binding Arbitration: If the dispute remains unresolved following mediation, both parties agree to submit the dispute to final and binding arbitration in the State of Colorado, administered by the American Arbitration Association (AAA) under its then-current Consumer Arbitration Rules. The arbitrator’s decision shall be final and binding on both parties and may be entered as a judgment in any court of competent jurisdiction. The parent or guardian expressly waives any right to a jury trial or to pursue any claim as part of a class action. Each party shall bear its own legal fees and costs unless the arbitrator determines that a claim was frivolous or brought in bad faith, in which case the arbitrator may award reasonable legal fees and costs to the prevailing party.

By signing the required disclosure form and submitting transcript data to Statheros Homeschooling, the parent or guardian acknowledges that they have read, understood, and agreed to this dispute resolution process, including the binding arbitration clause and waiver of jury trial rights.
